📬 CRA Online Mail for Business
Online Mail for Business is the Canada Revenue Agency's electronic correspondence service that delivers most business notices, letters, statements and other official documents through My Business Account instead of traditional paper mail.
📌 What Is Online Mail?
Beginning in 2025, the CRA made online mail the default delivery method for most business correspondence. Instead of waiting for paper letters, businesses can securely access notices, statements, requests and other documents through My Business Account or Represent a Client.
- 📄 Notices of assessment
- 📬 CRA letters
- 📑 Statements and account documents
- 📋 Requests for information
- 📁 Other eligible CRA correspondence
Some correspondence that cannot be delivered electronically continues to be sent by regular mail.
👥 Who Is Affected?
Online mail applies to:
- 🏢 Newly registered businesses.
- 🏭 Existing businesses using My Business Account.
- 👨💼 Businesses with authorized representatives using Represent a Client.
- 🏦 Businesses with CRA program accounts such as GST/HST or payroll.
The transition began for new registrations on May 12, 2025, followed by most existing businesses on June 16, 2025.
👀 How to View Your Mail
- Sign in to your CRA account.
- Open My Business Account.
- Select Mail under Correspondence.
- Open, download or print your documents.
Authorized representatives follow similar steps through Represent a Client after selecting the appropriate Business Number.
📧 Email Notifications
The CRA strongly recommends enabling email notifications. These messages do not contain confidential tax information—they simply notify you when new correspondence or important account changes are available.
You can register up to three email addresses for each program account, allowing owners, accountants or other authorized contacts to receive notifications.
📄 Can You Still Receive Paper Mail?
Yes. Businesses may request paper correspondence if eligible.
- ✔ Submit the request through My Business Account.
- ✔ Or mail Form RC681.
- ✔ Requests must be made by someone with signing authority.
- ✔ Paper mail requests generally require renewal every two years.
If mailed correspondence is returned as undeliverable, the CRA may automatically switch the business back to online mail.
✅ Benefits of Online Mail
- ⚡ Faster delivery than postal mail.
- 🔒 Secure access through CRA authentication.
- 🌎 Available most hours every day.
- 📂 Easy downloading and printing.
- 🌱 Less paper consumption.
⚠ Best Practices
- ✔ Check My Business Account regularly.
- ✔ Keep your email address current.
- ✔ Enable multi-factor authentication.
- ✔ Download important correspondence.
- ✔ Keep your mailing address updated even if you use online mail.
💬 Community Experience
Many Canadian business owners recommend enabling CRA email notifications immediately after opening a Business Account. Users also note that service maintenance can occasionally delay access to the Mail section, so checking the CRA service status before filing important documents can help avoid unnecessary concern.
👨💻 Expert Insight from dir.md
Because business correspondence is now primarily delivered electronically, checking My Business Account should become part of your regular business routine. Missing a notification email does not delay delivery—the CRA considers correspondence received on the day it is posted to your account. For that reason, enabling email notifications and reviewing your mailbox regularly is one of the simplest ways to avoid missed deadlines.
